PART 1: PRIVACY POLICY

Welcome to the Career Vision Library Application. Your privacy is of paramount importance to us. This Privacy Policy explains how Career Vision Library collects, uses, discloses, and safeguards your information when you use our mobile application. Please read this Privacy Policy carefully. If you do not agree with the terms of this Privacy Policy, please do not access or use the application.

This Privacy Policy applies to all library administrators who manage study centers, and students/members who register to use the space and log check-ins/check-outs.

1. Information We Collect

We collect information that you directly provide to us, as well as data automatically generated during your use of the application:

·         Student Profile Data: When registered by an administrator, we collect details such as student name, contact number, email address, student ID, assigned batch, allotted seat number, and status (active/inactive).

·         Account Authentication: We use Firebase Authentication to secure accounts. Login credentials (email and secure passwords) are collected and processed securely by Firebase.

·         Attendance & Location Logs: We collect check-in and check-out timestamps, which may include QR code scans, to track daily attendance, check-in duration, and fine calculations for late stays.

·         Financial Transactions: We log fee payments, pending dues, waivures, payment modes, and receipt details. The app generates PDF receipts based on these transaction details.

·         Offline Cache & Backups: Data is cached locally on your device for offline support. Administrators may export database backups in JSON format, which contain student rosters, attendance logs, and financial records.

2. How We Use Your Information

The collected information is used solely to facilitate the administration and smooth operation of the library and study spaces. Specifically, we use your data to:

·         Administer Services: Manage live seat occupancy and track batch schedules in real-time.

·         Process Attendance: Automate student registration, verify digital check-ins/check-outs, and monitor attendance violations.

·         Financial Tracking: Generate billing logs, manage pending/collected fees, and issue PDF receipts.

·         Communication: Send important system notifications, requests, alerts, and batch/seat assignment updates to students.

·         Enhance App Stability: Improve offline cache synchronization, troubleshoot technical errors, and facilitate data backups.

3. Data Sharing & Security

We are committed to protecting your personal data and do not share it with third parties, except in the following circumstances:

·         With Service Providers: We share authentication and data hosting with Firebase (Google Cloud Platform) to ensure robust security and server performance. Firebase complies with rigorous privacy standards.

·         Legal Compliance: If required to do so by law, court order, or government authority to protect rights, property, or safety.

Security Measures: We employ administrative, technical, and physical security measures to guard your data. Firebase Authentication encrypts credentials. Note that while we strive to secure all data, no electronic transmission or storage method can be guaranteed 100% secure. You are responsible for keeping your device and your JSON backup files secure.

4. Data Retention & User Rights

We retain personal data for as long as the student maintains an active membership in the library, or as necessary for administrative audit logs (e.g., fee payment histories).

Students have the right to request access to their profile, check-in history, and payment statements. Students can request corrections or deletion of their personal information by contacting the Library Administrator. Administrators have full access control to add, modify, or deactivate student records.
